This Privacy Policy describes how Inforbase Lda. ("Company," "we," "us," or "our") collects, uses, and discloses information through our enterprise software, Optiware (the "Application").
B2B Restricted Access: Optiware is a professional business tool and is not available for public use or registration. Access is granted exclusively to authorized personnel of organizations ("Clients") who have entered into a formal service agreement or contract with Inforbase Lda.
2. Information We Collect
We collect only the information necessary to fulfill our contractual obligations and provide a secure experience:
- Account Information: Name, professional email address, and job title provided by your employer during onboarding.
- Authentication & Access Data: Login credentials and OAuth tokens (e.g., Google Workspace) used to verify identity and authorize specific integrations.
- Technical Usage Data: IP addresses, log files, and device identifiers required for security monitoring, troubleshooting, and audit trails.
3. Use of Google User Data
If the Client chooses to integrate the Optiware Communication Module with Google Services, the Application will access specific Google user data as authorized via the OAuth consent screen.
- Access: We only request the minimum scopes required for the Application's features (send mail on user's behalf)
- Use: Optiware uses Google data strictly to provide the features requested by the user/Client. We do not use this data for profiling, advertising, or any purpose outside of the explicitly stated functional requirements.
- Storage: Google OAuth tokens are stored using industry-standard encryption.
Limited Use Disclosure: Optiware’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
4. Data Sharing and Disclosure
Inforbase Lda. does not sell or rent your data. We only share information:
- With Service Providers: Trusted third parties (e.g., cloud hosting) who assist in service delivery and are bound by confidentiality.
- For Legal Reasons: To comply with applicable laws, regulations, or enforceable governmental requests.
- With Your Organization: As a B2B tool, your organization's administrator may have access to usage reports and data processed within your account.
5. Data Security
We implement robust security measures, including:
- Encryption: All data is encrypted in transit (TLS 1.2+) and at rest (AES-256).
- Access Controls: Restricted access based on the principle of least privilege.
- Audits: Regular security reviews to ensure the integrity of the Optiware platform.
6. Data Retention and Your Rights
Inforbase Lda. acts as a Data Processor under the instructions of the Client (the Data Controller).
- Retention: Data is retained for the duration of the Client’s contract or as required by law.
- Rights: Users wishing to access, correct, or delete their data should contact their organization’s IT administrator.
